Job Overview: WEConnect International has been growing steadily and is now seeking to dramatically accelerate growth. Therefore, the position requires that the candidate is a mission-focused problem solver to support our executive team. The Executive Assistant will manage business and office related tasks for the executive team such as creating reports, organizing travel and accommodation, taking minutes, and other organizational tasks. The Executive Assistant must be extremely fast at solving problems and have experience as an executive or administration assistant to include using the full Microsoft Office Suite, including calendar functions. The candidate will lead by example in promoting the organization’s core values.

Job Responsibilities: To help ensure the efficient and effective management, growth, and impact of WEConnect International in accordance with its mission and regulation, the position is required to:

  • Complete a broad variety of administrative tasks for the executive team to include managing an extremely active calendar of appointments
  • Completing expense reports
  • Composing and preparing correspondence that are sometimes confidential
  • Arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings
  • Plan, coordinate and ensure the CEO's schedule is followed and taken into account
  • Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the CEO's time and office
  • May be requested to communicate directly, and on behalf of the CEO, with Board members, donors, foundation staff, and others, on matters related to CEO's programmatic initiatives
  • Provide a bridge for smooth communication between the CEO's office and internal teams; demonstrating leadership to maintain credibility, trust and support with senior management and staff
  • Welcome visitors, route phone calls and mail, review and draft executive correspondence
  • Maintain general office organization and cleanliness – supply orders, conference room, files, calendars, office electronics and equipment, kitchen, etc.
  • Take and transcribe meeting notes or minutes for weekly team meetings, Board meetings and member meetings
  • Filing and retrieving corporate records, documents, and reports
  • Prepare documents for review and presentation to Board
  • Using various software, including word processing, spreadsheets, databases, and presentation software
  • Reading and analyzing incoming communications and distributing them as needed
  • Provide general administrative support
  • Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the CEO, some of which may have organizational impact

Executive Assistant Requirements:

  • Proven experience as an executive assistant or other relevant administrative support experience
  • In-depth understanding of entire MS Office suite
  • Ability to organize a daily workload by priorities
  • Must be able to meet deadlines in a fast-paced quickly changing environment
  • A proactive approach to problem-solving with strong decision-making skills
  • Must be comfortable working with a very diverse range of individuals
  • Professional level of English verbal and written communications skills
  • Language skills beyond English is a plus
